The current nurse invitation process uses a manual process for entering the Nurses contact information and is highly error prone due to the email address has been miss keyed or is no longer accessible by the Nurse. This creates issues with completing the process for the Nurse to gain access to DODD systems through the invite process. In addition RN-nurse doesn’t have the ability to do a re-invitation after corrections have been made to the email address. With the proposed process when creating and inviting the Nurse the process will require that the Nurse provide a OHID account identifier. The email address and phone numbers will be pulled from the OHID account data. This will ensure that the correct contact information is used for email communications. In addition if the Nurse changes their OHID email address this information will be updated in MAIS when the nurse logs into the application. This change eliminates manual processes by ITS for data fixes and re-inviting the nurse to allow them access to DODD systems.
Currently to configure the MAIS Secretary the individual must submit a paper affidavit that is processed by ITS through a ServiceNow ticket. Changes will be made to implement self-service process for MAIS Secretary to use the same invite process used for Nurses to establish the RN association using OH|ID username.
The implementation of these changes is expected to eliminate call center requests and ITS manual data fixes to correct email addresses and will improve overall customer experience and data quality controls.

RDS currently lacks sufficient speed to increase users efficiency, contains bugs for which no work around exists, and is missing required functions. The current work flow does not match the Compliance Review protocol established by DODD. The RDS system is needed to comply with CMS requirements, State Laws, and ORC/OAC rules.
RDS resulted from a Kaizen Event held in 2015 by our Assistant Deputy Director, Kelly Miller. OSSAS needs the RDS work flow to match the process developed during that event. The system should be easy to use for , County Board, COG, ODH, and DODD reviewers. The system should include all providers that have billed in any of their certification periods, any open licensed facilities, and include the names of any individual served. The Prioritized Provider section should allow DODD to schedule compliance reviews for Certified Providers, Licensed Providers, and County Boards. Reports should include all required information used in hearings for suspension and revocation of providers.

The reviewers use review tools for each provider and review type, including regular and special reviews. The system also includes individual interviews of all individuals included in the review process. Automate the manual process for Technical Assistance, which is provided to individuals (within the DODD system of support services) who have requested an assessment to determine whether an admission to a development center or additional services are needed.
The process begins when a Community Resource Coordinator (CRC) is contacted by the individual, family member, provider, guardian or county board staff about the need to conduct an assessment for an individual.
The CRC assembles a team that includes nursing staff and one of the following: a program director, a Qualified Intellectual Disability Professional (QIDP), social worker, a residential care supervisor or another professional from the developmental center.
In addition, the CRC requests collateral packet. The collateral packet includes medications, diagnosis, incident reports, hospital records and other information.
The CRC arranges for a face-to-face interview and presents a standard list of questions to be presented by the Technical Assistance team. During the interview, the team makes recommendations. The CRC collects the information and compiles a report that will be distributed to the County Board and other members of the team. After the outcome is established, the CRC will make contact with the individual within 30 days of the assessment to determine improvement.
